Payment
At the time of booking we will require a minimum 20% non-refundable deposit.
A booking will not be confirmed until we receive the deposit payment.
The balance will be due subject to time of making the booking but will be required 60 days prior to arrival.
If final payment is not made within required time, we will assume you have chosen to cancel your booking and cancellation fees may apply as detailed below.
Cancellation fees will be applied in accordance with the applicable cancellation policy below.
For bookings made within 60 days 100% payment is required.
Changes to Bookings
If, after a confirmation invoice has been issued, you wish to change your booking in any way, we will do our best to make these changes, but it may not always be possible and you could incur cancellation fees, together with any additional cost.
Any request for changes to be made must be received in writing and you may be asked to pay an administration fee of 3,000 JPY per change.
Cancellation fees will be applied in accordance with below.
Cancellation (Green season - 01 june to 31 oct)
Only written notification will be accepted for any changes to bookings including cancellation notice. The date of receipt of the cancellation notice in writing will be deemed the date on which you exercise your right to cancel your accommodation booking.

Please note that if the reason for your cancellation is covered under the terms of your personal travel insurance policy, you may be able to reclaim these charges. We therefore urge you to ensure you have travel insurance which includes comprehensive cancellation cover from the time of booking.
Changes and cancellation made by us.
It is unlikely that we will have to make any changes to your booking, but occasionally we may have to make changes and we reserve the right to do so at any time.
If chaIf changes are made to your booking, compensation will not be payable.
If we make any change to your booking, we will inform you as soon as reasonably possible if there is time before your departure. When a major change occurs you will have the choice of accepting the change of arrangements, accepting an offer of an alternative service of comparable standard from us if available, or cancelling your booked service and receiving a full refund of all monies paid less any bank transfer or fees incurred.
Extra Person and Additional Items
An extra person fee of 10,000 JPY per person per night applies to any Booking over the Standard number of people in an accommodation. Extra guests will be accommodated on sofa couch or Japanese futons (depending on apartment).
Due to Japanese fire regulations the Maximum number of occupants per accommodation may not be exceeded.
Cots and highchairs are free and can be requested at time of booking and are subject to availability.
Damage to Accommodation
You accept responsibility for damage to the property (including apartment common areas), fittings, furniture, keys and other chattels caused during your occupation, including any consequential losses incurred.
An email address and a valid Credit Card are required at check-in as a Security Deposit. By booking with us, you acknowledge and agree that we are authorised to charge all fees, charges, and any costs related to damages to the property or its contents to that Credit Card, as properly chargeable under this agreement.
Your personal possessions, including lift passes and hire equipment supplied by us, are at your own risk during your stay.
Check in/out
The accommodation is available for occupation from 3pm.
The accommodation must be vacated by 10am otherwise agreed in writing.
In the case of an early arrival or later departure, we will do our best to accommodate if arranged prior to arrival.
Arrival and departure times must be provided within 7 days of arrival for all guests staying in the accommodation.
Where we have not confirmed alternative arrangements in writing and accommodation is not vacated by the Check-Out time, a charge of 10,000 JPY for each hour or part thereof may apply.
Japanese Law requires that we obtain all Guests’ full names, nationalities, copy of passport, postal addresses and occupations at Check-In.
At time of Check in we will require a credit card which will be held on file to cover any incidental charges. If no credit card available a security deposit equivalent to ¥500,000 in cash will be required.
Housekeeping
The accommodation will be clean and tidy on check-in, beds will be made with fresh linen and bath towels will be supplied.
The property operates under an eco-housekeeping policy whereby standard housekeeping services are limited. Guests may request additional housekeeping services, as well as supplementary towels and amenities, which will be provided subject to availability and may incur additional charges.
Housekeeping services, including frequency and scope, may vary depending on the apartment type and season. A detailed housekeeping schedule applicable to the unit will be communicated to guests upon check-in.
We ask that you separate Garbage into bins provided and we will arrange collection. Details will be provided at check in.
At check-in complimentary water, tea, coffee, sugar, body soap, hand soap, conditioner, shampoo, dishwasher powder, washing powder, tissues and cleaning products will be provided.
All rooms can be set up as twin or double
Bedding configurations must be supplied at least 7 days prior to arrival.
Where a bedding configuration is not supplied or is incorrect due to your omission and you request a change to the bedding configuration upon or after arrival additional Housekeeping charges may apply.
Pets
No pets are allowed at any accommodation, either inside, outside or remaining in vehicles.
Parking
Parking during winter months is severely restricted and must be requested and confirmed or each booking if required.
Guests who intend to bring a vehicle must confirm availability of parking with us at the time of booking.
Parking on the street is illegal and your car may be towed.
Non-Smoking
All apartments are strictly non-smoking.
Smoking is permitted in designated locations outside the property.
If guests smoke in the accommodation they will subject to a minimum fine of ¥500,000 and if they continue to smoke after being requested to stop they will be evicted without any refund.
Guest Services
We are able to book a range of activities and services prior to arrival including lift tickets, airport transfers, ski Rental gear.
In-resort Guest services can be charged to your accommodation and billed at check out.
Third party guest services bookings are subject to the terms of the vendor. Full payment is required upon confirmation of services availabilities and cancellation policy will be provided.
All guest services are subject to availability at the time of enquiry.
Full payment due upon confirmation of guest services subject to vendor booking terms. Non payment will result to services being released and cancelled.
Cancellation of guest services:
A cancellation is any change(s) to a package item, which is not an upgrade or an addition.
Cancellation fees will be assessed as follows:
17 days or more prior to check-in will incur an amendment fee of ¥4,000 and may be subject to additional fees.
16 days prior to check-in will incur 100% of the total price.
Guest services may not be rescheduled due to changes in travel itinerary or if the guest is unable to attend. Guests may be advised to repurchase services upon check-in at the accommodation.
Unused items are non-refundable.
Peak season cancellation policies may apply to certain services or suppliers. If applicable these will be made available at time of booking.
shuttle service
A lift shuttle service is provided exclusively for guests of Yamakei.
The service is limited to the Hirafu resort area and operates only during designated hours.
The frequency and schedule of the service may vary depending on the specific unit and operational requirements.
Transfers to other Niseko resorts may be arranged; however, such services are subject to availability and may be restricted by time of day.
Full details of the shuttle schedule will be provided to guests upon check-in.
Force Majeure
Niseko Portfolio or their associated booking agents cannot accept liability, pay compensation, reimburse expenses or accept responsibility where we are forced to make minor or major changes to your booking, or cancel your booking due to ‘force majeure’, that is, unusual or unforeseeable circumstances beyond our control, the consequences of which could not have been avoided even if all due care had been exercised. These include but are not limited to, war,threat of war, riot, civil or political unrest, industrial dispute, terrorist activity threatened or actual and its consequences, natural or nuclear disaster, fire, adverse weather conditions, closure of ports or airports, air traffic control delays, technical problems of transport or other circumstances beyond our control.
